Vanguard AI Group LLC (“Vanguard AI Group,” “we,” “us,” or “our”) respects your privacy. This policy explains what information we collect when you visit vanguardaigroup.com, contact us through our forms, or engage us for services.
Short version: We only collect what we need to respond to you and run the site. We don’t sell your information. We use trusted, industry-standard tools to process and protect it. If you ever want your data removed, email us and we’ll take care of it.
1. What We Collect
Information You Give Us
- Contact form submissions. Name, email, phone number (if provided), business type, team size, and the message you send.
- Email correspondence. If you email us directly, we retain that email for business record-keeping.
- Client engagement information. If you become a client, we collect the operational information needed to deliver our services (workflows, tools used, team structure, etc.) as outlined in your engagement agreement.
Information Collected Automatically
- Analytics data. Through Google Analytics 4 we collect anonymized information about your visit: pages viewed, time on site, referrer, approximate geographic region, device type, and browser. This data does not personally identify you.
- Cookies. Google Analytics uses cookies to distinguish visitors and measure site performance. You can disable these through your browser settings.
2. How We Use Your Information
- To respond to your inquiries and deliver a written Opportunity Scorecard when you request one
- To send you an autoresponder confirming we received your message
- To deliver the consulting services you’ve engaged us for
- To measure site traffic and improve our content
- To comply with legal obligations and protect our legitimate business interests
We do not sell your personal information. We do not add you to marketing lists, newsletters, or sales outreach without your explicit consent.
3. Who We Share It With
We share limited information with a small set of trusted service providers (“sub-processors”) that help us operate:
- Resend \u2014 delivers transactional email (your form submission and our autoresponder)
- Airtable \u2014 stores your lead record so we can track and respond to it
- Google Workspace \u2014 hosts our email inbox and productivity tools
- Google Analytics 4 \u2014 provides anonymized traffic analytics
- Vercel \u2014 hosts the website infrastructure
Each of these providers maintains its own privacy practices and compliance standards. We only share the minimum data necessary for each service to function.
We may also disclose information if required by law, subpoena, or to protect our rights, property, or safety.
4. How Long We Keep It
- Contact form data and lead records: retained as long as the lead remains active, plus up to 36 months afterward for business record-keeping
- Client engagement records: retained for the duration of our relationship plus 7 years after termination, as needed for tax, legal, and contractual obligations
- Analytics data: retained according to Google Analytics defaults (currently 14 months)
5. Your Rights
California Residents (CCPA/CPRA)
If you live in California, you have the right to:
- Know what personal information we’ve collected about you
- Delete personal information we hold (subject to legal exceptions)
- Correct inaccurate personal information
- Opt out of the sale or sharing of your personal information (we don’t sell it)
- Non-discrimination \u2014 we won’t deny you service for exercising these rights
To exercise any of these rights, email hello@vanguardaigroup.com and we’ll respond within 45 days.
All Visitors
Regardless of where you live, you can:
- Ask us what data we have about you
- Request that we delete it (except records we’re required to retain for legal or contractual reasons)
- Ask us to correct any inaccurate information
- Opt out of our communications at any time
6. How We Protect It
We use encryption in transit (HTTPS/TLS) and at rest for all data we collect. Access to client and lead data is restricted to Vanguard AI Group founders (Casey Hartwell and Mike Riddle) and the sub-processors listed above. We regularly review our security practices and update them as threats evolve.
That said, no internet transmission or storage system is 100% secure. We cannot guarantee absolute security, and you share information with us at your own risk.
7. Children’s Privacy
Our services are designed for business owners and operators. We do not knowingly collect information from children under 13. If you believe a child has provided us information, email us and we’ll delete it.
8. Changes to This Policy
We may update this policy as our practices evolve or as laws change. When we do, we’ll update the “Effective” date at the top of this page and, for material changes, post a notice on our homepage. Continued use of our site after changes constitutes acceptance.
